Statement of Work | The Bench

The following statement defines the scope, deliverables, and the limitations of the custom n8n solution provided for The Bench – represented by Muhammad Ahmed – with reference to the tentatively signed quote number 20260130-191713397.

Scope of Services

1. Purpose

This Statement of Work ("SOW") defines the scope, deliverables, and limitations for the design and implementation of an n8n-hosted AI outreach and lead qualification system intended to replace the Client’s current Lindy-based solution.


2. Objectives

RevCloud shall deliver a production-ready system that:

  1. Replaces Lindy with an in-house, modular automation architecture with n8n.

  2. Supports individual-focused, multisource personalisation for outgoing emails.

  3. Reduces AI hallucinations through structured prompts and verification layers.

  4. Integrates with HubSpot and Microsoft Teams.

  5. Ensures scalable, customisable, user-friendly, and low-maintenance system that works better than Lindy overall.


3. Scope of Services

3.1 Automation Architecture and Platform Replacement

RevCloud shall design and implement an automation architecture using HubSpot as the system of record and n8n as the primary workflow engine. The solution will replace Lindy functionality related to outbound and inbound outreach.

Deliverable:
A deployed automation environment capable of lead intake, enrichment, outreach sequencing, and sales handoff.


3.2 Lead Intake and Normalization

The system shall support lead intake from the following sources:

  • HubSpot form submissions

  • CSV uploads provided by the Client or its vendors

Deliverable:
Unified lead intake workflows for inbound and outbound sources.


3.3 Research and Enrichment

RevCloud shall configure integrations to enrich leads using publicly available data sources such as LinkedIn, company websites, and publicly accessible news through approved tools.

Deliverable:
An automated enrichment layer that provides contextual data for personalization.


3.4 Role-Based Personalization

Outreach messaging shall be dynamically adjusted based on predefined stakeholder categories such as Investor, Operator, Developer, Consultant, and Government. This will be implemented using structured logic and templates.

Deliverable:
Persona-based personalization logic embedded into outreach workflows.


3.5 AI Guardrails and Content Reliability

RevCloud shall implement prompt structures, data grounding techniques, and knowledge references to reduce inaccurate or irrelevant AI-generated content.

Deliverable:
An AI prompt framework designed to minimize hallucinations while maintaining efficiency.


3.6 Email Structure and Content Management

Email structures shall be maintained in editable documents such as shared documents that are separate from automation logic. This allows user-friendly UI for updates without workflow redevelopment.

Deliverable:
Configurable email structure templates accessible to Client's non-technical personnel.


3.7 Outreach Sequencing

RevCloud shall implement automated outreach sequences consisting of up to three emails per lead. Timing will be configurable and the sequence will terminate automatically upon recipient response.

Deliverable:
A multi-step outbound sequence with reply detection and stop logic.


3.8 Microsoft Teams Review and Approval

The system shall optionally post draft outreach emails to Microsoft Teams for review and approval during the initial rollout period.

Deliverable:
A Teams-based approval workflow that can be enabled or disabled.


3.9 Event Knowledge Base

RevCloud shall create an event-specific knowledge base using Client-provided documents and website content. The knowledge base will support manual or scheduled refreshes.

Deliverable:
An event knowledge base used for AI grounding and messaging relevance.


3.10 Sales Handoff to HubSpot

Only leads meeting predefined engagement criteria shall be pushed to sales for follow-up.

Deliverable:
Sales-ready lead handoff logic with engagement criteria applied.


3.11 Initial Optimization and Handover

RevCloud shall conduct limited testing and optimization during implementation to establish a stable baseline. This will be followed by documentation and system handover.

Deliverable:
An operational system with handover documentation.


4. Out of Scope

The following items are explicitly excluded from this SOW unless agreed upon in writing through a change order or separate agreement:

  • Guarantees of zero AI hallucinations or complete factual accuracy

  • Real-time monitoring or continuous scraping of external data sources

  • Manual copywriting or human-written emails on a per-lead basis

  • Unlimited prompt revisions or ongoing message experimentation

  • CRM data cleanup beyond basic normalization required for workflow execution

  • Custom CRM object modeling or extensive HubSpot re-architecture

  • Advanced conditional branching beyond the agreed outreach sequence

  • Ongoing moderation, monitoring, or approval of AI outputs after handover

  • Dedicated infrastructure or tool licenses unless explicitly included

  • HubSpot private application programming for data ingestion or data sync
  • Vendor contract negotiations or management on behalf of the Client

  • Performance guarantees related to open rates, reply rates, conversions, or revenue

  • Support for use cases beyond event-related outreach without a separate scope

  • Ongoing system maintenance unless covered under a retainer

  • Guarantees of third-party API availability for an indefinite period or custom API provision

5. Client Responsibilities

The Client is responsible for the following:

  • Providing timely access to HubSpot, Microsoft Teams, n8n, LLM platform credits, and any other required systems

  • Supplying accurate and compliant lead data, documents, and website content

  • Reviewing and approving deliverables within reasonable timeframes

  • Ensuring compliance with applicable data protection, email, and marketing regulations

  • Maintaining active subscriptions for required third-party tools

  • Ensuring that third-party tools and APIs remain available

Delays or limitations in meeting these responsibilities may impact timelines or outcomes.


6. Change Management

Any services not expressly described in this SOW shall be considered out of scope and subject to a separate written change order. Revised pricing and timelines will apply.

This SOW covers the design and implementation of an n8n-hosted AI outreach and lead personalization system that replaces Lindy, enables individual-focused personalization with minimal hallucination, supports agile and user-friendly operations, integrates with Microsoft Teams and HubSpot, and delivers sales-ready leads within defined technical and operational boundaries.
